Our engagement process is designed to make outsourcing straightforward and low-risk. From discovery call to a fully integrated team in under 30 days.
Our engagement process is designed to make outsourcing straightforward and low-risk — particularly for engineering leaders who have never worked with an external development partner before. The most common concern we hear is: “What if the quality is not there?” or “How will I manage developers I have never met?” The process below addresses both directly: through a structured trial, full tooling integration, and a clear management model where you remain in control.
Unlike vendors who start the clock on fees before you have seen a line of production code, StepTo builds in a genuine paid trial — typically two weeks — where you evaluate real work product before committing to a full engagement. If the fit is not right, you walk away with no penalty and we find a replacement. If it works — and it usually does — you enter a long-term partnership with a team that already understands your codebase, culture, and delivery expectations.
The five steps below describe the full engagement lifecycle from your first call to a scaled, long-running team. Most clients are in active delivery within 30 days of first contact.
From first call to fully integrated team — a clear, repeatable process with no surprises
We begin with a focused 60-minute discovery call to understand your engineering requirements, current team structure, preferred tech stack, budget envelope, and delivery timeline. This is not a sales call — we come prepared with specific questions and leave with a clear picture of what success looks like for your engagement. By the end of the call you will have a preliminary view on team composition, engagement model fit, and indicative monthly cost.
Within five business days of the discovery call, we present three to five pre-vetted candidates who match your technical requirements and seniority expectations. Each candidate profile includes a technical assessment summary, years of experience, stack proficiency ratings, English level, and availability date. Candidates have already passed our three-stage internal screening — technical challenge, live coding interview, and communication assessment — before they reach you.
Once you select your engineer or team, we begin a structured two-week paid trial. During this period the developer joins your communication channels, participates in your standups, and completes a first-sprint workload defined collaboratively with your team lead. We handle all equipment provisioning, system access setup, and legal agreements in parallel so there is zero administrative delay on your side. The trial is a genuine evaluation — not a grace period with reduced expectations.
After a successful trial, the engagement moves into its full rhythm. Your augmented developer or dedicated team operates as an integrated part of your organization — attending your sprint reviews, contributing to planning sessions, and delivering against your roadmap under your management. Our role shifts to background support: HR management, retention monitoring, and a monthly check-in to ensure the engagement remains healthy from both sides.
Successful outsourcing engagements grow over time. As your product matures, your need for different specializations — DevOps engineers, QA automation, data engineering, mobile — typically expands. We support structured scaling through quarterly roadmap reviews where we align team composition to your upcoming delivery needs. Long-term partners benefit from priority talent access, preferential rates, and dedicated account management with deep context about your product and culture.

How we keep distributed teams aligned, accountable, and high-performing
Augmented developers and dedicated teams participate in your daily standup — not a separate one. This keeps communication unified and ensures your team lead has full visibility into progress and blockers in real time.
Our engineers participate in your sprint ceremonies as full team members. For dedicated teams, we can also facilitate bi-weekly retros that include a StepTo account manager to surface any engagement-level concerns early.
If a technical or interpersonal issue arises, you have a named StepTo account manager who responds within four business hours. Critical escalations (blocking production issues, compliance concerns) are addressed within one business hour.
Serbian engineers work in CET (UTC+1) with summer adjustment to CEST (UTC+2). This provides full-day overlap with Western European clients and a 3–5 hour overlap window with US East Coast teams for daily syncs.
From first contact to a developer joining your tools and starting work typically takes two to three weeks. The fastest path — when you have a clear job description, defined stack, and available time for a one-hour discovery call — can compress to as little as ten business days. The main variables that affect the timeline are seniority level (senior engineers with specialized skills take longer to source than mid-level full-stack developers), your internal decision speed (the faster you can schedule and complete candidate interviews, the faster we move), and legal and procurement requirements on your side (some organizations have multi-week vendor onboarding processes that we cannot control). We communicate expected timelines transparently at every stage and flag delays before they affect your schedule. For urgent scaling needs, we frequently have pre-vetted engineers available immediately from our active talent pool.
You do — and that is by design. StepTo engineers work under the direct management of your team leads, product managers, and engineering managers. They receive tasks through your project management tools (Jira, Linear, Trello, or whichever you use), communicate through your channels (Slack, Teams, email), and report progress in your standups. This gives you full control over priorities, velocity, and delivery quality. StepTo's management role is entirely on the employment and HR side: we handle contracts, payroll, performance conversations, and retention. The separation of concerns is intentional — it means your engineers are genuinely integrated into your culture and processes, not operating in a vendor silo with different incentives. For dedicated teams, your engagement may include a tech lead who takes on some day-to-day coordination, but they still report to your overall product or engineering leadership.
We have a structured resolution process. The first step is our 30-day trial, which is specifically designed to surface fit issues before you commit to a full engagement. If problems emerge during the trial — technical performance, communication style, or cultural fit — you can request a replacement at no cost and with no questions asked. For issues that emerge after the trial period, we have a formal performance improvement process. Our account manager facilitates a direct conversation between you and the engineer, sets clear expectations and a timeframe for improvement, and monitors progress. If improvement does not occur, we initiate a transition: we source a replacement candidate and manage the handover process to minimize disruption to your delivery. Our 95% long-term retention rate means replacement scenarios are genuinely rare, but we treat them as our highest-priority obligation when they occur.
All intellectual property created by StepTo engineers during your engagement is owned by you. This is defined unambiguously in our Master Services Agreement (MSA) before any work begins. Engineers sign IP assignment clauses as part of their employment contracts on our side, and our MSA with you contains a full IP transfer clause covering all work product, source code, documentation, designs, and inventions created during the engagement period. We also require engineers to sign NDAs before they receive access to your codebase or business information. For dedicated teams, we can include additional IP protection provisions such as non-solicitation clauses and data processing agreements aligned with GDPR requirements. If you have specific IP concerns — for example, around pre-existing IP or open-source license compliance — we address these during contract negotiation before engagement start.
Yes, and we actively encourage it. Our offices are located in Belgrade, Serbia, which is easily accessible from major Western European hubs — a 90-minute flight from Vienna, two hours from Munich, and two and a half hours from London. Visiting your team in person during the first one to three months of an engagement significantly accelerates relationship-building, cultural alignment, and trust. We can arrange team days, working sessions, and social events during your visit. Some of our long-term clients schedule quarterly or bi-annual in-person visits as part of their standard engagement rhythm. For clients who cannot travel, we offer high-quality video sessions for sprint reviews and retrospectives that replicate much of the collaborative value of an in-person meeting. Remote-first does not mean relationship-optional — we invest in making distributed collaboration feel close.
